Service intake with context
Turn a missed call into a reviewable intake card
Flatzer structures vehicle details, the customer’s description and availability before the repair shop decides diagnosis, price or appointment.
Local simulation: no messages, bookings, assignments or data leave this browser.
The operational problem
Start by identifying the vehicle and the request
Every incomplete contact means asking again for the plate, model, description and availability.
An intake card handed off without diagnosing a fault, judging safety, pricing work or booking a slot.
How it turns a missed call into an intake card
The customer has called twice with no answer and writes on WhatsApp. The agent collects what the workshop needs to call back with the card in front of them.
It keeps the description in the customer's own words and asks the safety question the workshop has defined. It does not diagnose, quote or book, and the card sits in reception's inbox with the history.
Hi, I called and nobody picked up. I have a 2018 Seat Leon with a yellow warning light on. Can I bring it in on Thursday morning?

Boundaries that protect the work
Reliable automation shows what it knows and leaves everything else for review.
- No fault or safety diagnosis.
- No price or workshop slot is confirmed.
- A mechanic reviews the description and decides the next step.
Where the agent stops and the workshop begins
A warning light, a noise or a photo are input data, not a diagnosis.
- It does not diagnose the fault or judge the vehicle's safety. A yellow light is recorded as "yellow light", nothing more.
- It does not quote prices. Without a diagnosis, parts and labour, an automatic figure would look like a quote, and it is not one.
- It does not confirm a slot. It records the customer's availability; the workshop decides when it can take the car.
- It asks the safety question you define, such as whether the car is stuck or a red light is on, and if the answer calls for it, refers to the human channel.
- It flags what is missing instead of inventing it: if the customer does not know the plate, the card keeps that field pending.
Design the process before you automate it
What an auto repair shop intake form should include
Create a useful intake card with vehicle, description and availability, without converting the customer's message into a diagnosis or quote.

Your details in the business memory.
Reception hours, address, whether you take vehicles without an appointment and what you ask for at intake.
Your safety question.
The one you want asked every time, such as "is the car stuck?", and where to refer if the answer is worrying.
The fields of your card.
Vehicle, description, when it started, availability and contact. A tyre shop does not need the same as a bodyshop.
A connected channel.
The workshop's WhatsApp, linked by QR code with your number, or the widget on your website.
Whoever returns the calls.
Cards wait in the inbox with the history until reception calls the customer.
