Leads handled with reviewable rules
Turn a portal lead into a clear, reviewable opportunity
Flatzer records the property, availability and operational needs for human review.
Local simulation: no messages, bookings, assignments or data leave this browser.
The operational problem
The first response should retain the property reference
Link the message with the identifier provided by the portal and record the intention: information, visit or objective conditions of the property. If the reference is missing or does not match, ask for clarification; do not select another property due to similarity.
A handed-off opportunity: it does not assess affordability or use or process protected characteristics; rules and viewings require human review.

A workflow designed for this specific job
- 01
The first response should retain the property reference

- 02
Don't promise inventory from an outdated source
The portals, the CRM and the website can be updated at different times. If the agent does not query an authorized source in real time, the agent must mark the availability as pending.
- 03
Deliver an actionable opportunity to the salesperson
The summary may include reference, intent, availability of the interested party, expected date and pending questions. Add the source channel so the team knows the context, without duplicating unnecessary personal data. Also record if the portal allows you to respond within your own thread or if the contact requires another authorized channel. Automation should not extract data for uses other than the request or create parallel campaigns without basis and consent. A well-prepared opportunity retains provenance and purpose.
- 04
Test portals, duplicates and expired references
Include the same lead from two sources, retired properties, incompatible schedules and unanswered questions on the file. Check that the agent recognizes limits and does not improvise alternatives.
